Facility and Equipment Rentals

UD Campus Recreation facilitates the rentals of both facilities and equipment, including general recreational equipment and outdoor recreation items.


Facility Reservations

General Rental Guidelines

The following policies apply to all facilities managed by UD Campus Recreation facilities.

  • Events considered by UD Campus Recreation to be potentially harmful to the public image of the University of Dayton will not be permitted.
  • UD Campus Recreation and Facilities Management reserve the right to determine the potential harm to facilities and may not approve the request.
  • The scheduling of events will be based on facility availability and approval by UD Campus Recreation, with special consideration paid to annual University events. 
  • UD Campus Recreation will determine the extent of personnel required to safeguard the University's interest for all events.

Facility Requests

  • UD Campus Recreation only accepts rental requests for events that take place between Friday at 5 p.m. and Sunday at 5 p.m. All other requests will be denied. Exceptions to this rule will be made during periods when students are on break and summer semester.
  • The reservation request needs to be submitted at least two weeks before your event. For large-scale events, we require four weeks' notice.
  • Groups renting a facility will be held financially responsible for special cleaning, maintenance or repair resulting from the event or activity.
  • Groups renting a facility are required to observe all applicable policies of UD Campus Recreation and the University of Dayton, and all local, state and federal laws.
  • UD Campus Recreation is not responsible for lost, stolen or damaged property of anyone using the facilities.
  • Groups renting facilities will sign agreements designating use, costs, etc.

*Rock wall reservations include support from two staff members.

**All Stuart Field reservations must be supervised by Campus Recreation and require an additional staffing charge. Soccer and lacrosse require use all four of the 40x100 fields.

 

Event Operation Charges

  • In addition to the rental fee, the rental group is responsible for all direct labor costs incurred by UD Campus Recreation that are necessary for the proper operation and maintenance of the facility. These costs include, but are not limited to, facility operations staff, Alpha & Omega staff, lifeguards and rock wall staff.
  • The amount of staff assigned to an event will be determined based on the size and nature of the event.
  • Rental groups will be charged for special cleaning, maintenance or repair resulting from the event or activity.

After Hours Charges

  • Any group that schedules an event outside of a facility's regular operating hours will be subject to a $50/hour after hours charge.

Final Payment Due

  • Rental fees and all other associated charges are due 30 days following the event date, or in the case of a long-term rental, 30 days following the expiration of the lease term.
  • Internal rentals must provide a UD account number.

Student Organization Fee Structure

  • Members of recognized student groups who are not enrolled for at least 12 credit hours and guests must purchase a daily guest pass to enter an indoor facility and sign a waiver, or the student group may rent the facility space at the internal rate to allow access for non-member participants attending the event.
  • Although student groups are not required to pay space rental fees, they are required to pay event operation, after-hour and equipment charges.

Additional Information

University Department Youth Programming

University departments/academic units are responsible for ensuring that any youth (under 18 years old) attending their rental event that a parent/guardian signs an Informed Voluntary Consent Form.

General Public/Certificate of Insurance

Groups not affiliated with the University of Dayton must maintain the following coverage with an Ohio-authorized insurer for the duration of their agreement:

  • Comprehensive General Liability, including Personal Injury Liability coverage, in the amount of $1,000,000.
  • The Certificate of Insurances must include the following language:  "The Additional Insured shall include The University of Dayton, its affiliates and subsidiaries, elected and appointed officials, all employees, and volunteers, all boards, commissions and/or authorities, and board members, including employees and volunteers thereof. Coverage provided shall be primary to the Additional Insured’s and not contributing with any other insurance or similar protection available to the Additional Insured’s whether other available coverage be primary, contributing or excess."
  • To provide certificate(s) of insurance to UD Campus Recreation, please submit them a minimum of ten (10) business days to the beginning date of the use of the facilities.

Food Service

  • Rental groups are not permitted to bring food or beverages to any indoor or outdoor facility or space without the approval of the UD Campus Recreation.
  • Concessions must be approved by UD Campus Recreation prior to the event and detailed in event addendums.
  • Eating and drinking are allowed only in specified areas.
  • Alcoholic beverages and illegal substances are strictly prohibited.
  • All guests must abide by UD Campus Recreation's no smoking policy along with no chewing tobacco.

NOTE: The University has an exclusive beverage contract with PepsiCo that must be complied with in any facility at the University of Dayton.

Parking

Parking is the responsibility of the rental group.

Equipment

UD Campus Recreation has equipment available for groups. Please contact us at 937-229-2731 with specific needs or describe desired equipment in the Facility Reservation Form.

Vending/Concessions

Rental groups are not allowed to sell products, or contract with outside vendors to sell products, in a UD Campus Recreation facility without the prior written authorization from UD Campus Recreation.

Outdoor Facilities

UD Campus Recreation does not guarantee alternate indoor facilities or rain dates, in the event of inclement weather, but will will make every effort to do so.

Signs and Decorations

  • No signage or decorations are permitted without the prior approval of UD Campus Recreation.
  • Request for signage and decorations must be included in the original facility request. 
  • Signs must not interfere with access to entrances/exits.
  • Decorations must be free-standing, including signs.
  • Duct tape or scotch tape may not be used on any floor or wall. It is recommended to use poster putty or quick release tape. 
  • No signage or decorations including glitter or confetti are permitted without prior approval.
  • Please note UD Campus Recreation does not provide extension cords, tape, power strips or other supplies. 
  • The group is responsible for removing all decorations after the event.

UD Campus Recreation has space available to UD and non-UD groups for conferences and workshops. Contact us at 937-229-2731 for fees and schedules. 

All reservation requests must be received at least 30 days before the event. Please complete the Facility Request Form.


Locker and Towel Services

Rental Lockers

  • Lockers are available for rent in both the men's and women's locker rooms.
  • Lockers are rented on annual or semester basis.
  • Premium locker rental includes up to three shower towels per visit.
    • Annual - $80 
  • Semester - $38
  • Basic locker rental includes one shower towel per visit.
    • Annual - $50
    • Semester - $24
  • Lockers not cleaned out or renewed by the end of their rental period will be cleared. Items will be kept for 30 days, then donated to a local charity.

Daily Lockers

  • All patrons may use lockers on a daily basis.
  • The daily lockers are for temporary item storage while using the RecPlex.
  • Daily lockers may not be used to store items overnight.
  • All daily lockers must be cleared at least 15 minutes prior to closing.
  • Locks will be cut off and items left in the lockers will be removed.
  • Items removed will be kept for two weeks.

Towel Service

  • Shower towel service is available for purchase for $25 annually.
  • A member may check out one shower towel at a time.
  • Additional towels may be purchased for family members.
  • Daily towel rental is available for $1 a day.

With a valid University of Dayton ID or UD Campus Recreation membership, you can rent equipment from the first floor of the RecPlex and the Outdoor Engagement Center

Making Reservations

Reservations can be made by completing the Equipment Reservation Request Form.

Picking Up and Returning Equipment

Pick up and return your gear at the Outdoor Engagement Center (438 Stonemill Rd.). At pickup, present photo ID, a signed rental agreement, and nonrefundable payment by credit or debit card.

Return items clean and dry; staff will inspect them and apply any cleaning, repair, or replacement fees as needed. Late returns incur additional daily charges.

Rentals aren’t included in membership pricing.

RecBike Rentals

RecBikes are available sun-up to sun-down to UD Campus Recreation members with a UD ID and signed waiver at the UD Campus Recreation equipment resource center. Each bike includes a helmet and optional u-lock, handle bar bag and map.Equipment not returned by sunset will result in a $5 late fee.

Bikes may be available for rent for a week ($20), semester ($60) or during summers and holidays depending on availability and staffing. Extended bike rentals include a bike, helmet, lock and routine maintenance. Complete the rental application.
