Guidelines for Contractors

Obtaining or Renewing an ID Badge

In order to submit an access request, contractors must be in possession of a permanent ID badge. You may apply for a badge by completing these forms:

  1. Non-Employee Agreement & Data Sheet
  2. Background Check Form

Approved applicants may obtain a badge for a $10 fee.

Requesting Building Access

For short-term access, contact Door Access Control at 937-229-2051.

For longer-term access, a permanent ID badge is required. Once in possession of a permanent ID badge, contractors may request access to campus facilities via the Contractor Access Request Form on a project basis. Please note, a valid ID badge number is required.

Issues with Card Access

If your card access is not working or you are locked out:

  • During business hours, contact Door Access Control at 937-229-2051.
  • After hours, contact Public Safety at 937-229-2121.

Contractor Parking

If a parking permit is needed immediately, go to the Parking Services office on the 1st floor of Fitz Hall to get a 3-day hang tag. That tag should be used until the permit you request through the Contractor Parking Request Form is issued.

Please submit the Contractor Parking Request Form to request a contractor parking pass to a University of Dayton lot. You will receive an email confirming your request.

A separate email will be sent once a pass has been issued. That email will confirm the vehicle the pass is issued to, the valid date(s) for the pass, and the lot that it is valid in.

Hot Work Permit

Prior to conducting hot work on campus, contractors must submit a Hot Work Permit Request to obtain a hot work permit from UD's Department of Environmental, Health and Safety.

UD EHS generally cannot process requests with less than 24 hours' notice, but will review requests for emergency or unplanned work on a case-by-case basis. After reviewing your permit request, UD EHS will schedule a time with you to review and approve your permit.

If you have any questions regarding the hot work permitting process, please contact UD EHS at ehs@udayton.edu or call 937-229-4503.

Confined Space Entry - Notification Form

An entry notification is required for all work conducted by contractors in a Permit Confined Space at the University of Dayton. Please review the List of Permit Confined Spaces to determine if planned work will occur in a Permit Confined Space. Prior to entering a Permit Confined Space, notify UD's Department of Environmental Health and Safety (EHS) by completing this Confined Space Entry Notification.

If you have any questions regarding the confined space entry process, please contact UD EHS at ehs@udayton.edu or call 937-229-4503.

Fire Protection System Impairment - Red eTag Permit

Impairment to a fire protection system must be approved by the UD Department of Environmental Health and Safety. Impaired equipment must be tagged. Submit the Fire Protection System Impairment - Red eTag Permit request form when planned work requires impairment of the fire protection system. After reviewing your permit request, UD EHS will schedule a time with you to review and approve your permit.

UD EHS generally cannot process requests with less than 24 hours' notice, but will review requests for emergency or unplanned work on a case-by-case basis.
