Using the Privately Speaking Line

The University encourages all employees and students to live out our Catholic, Marianist commitment to community and to try and work out differences or concerns directly with each other or with a supervisor. In most situations, you will be able to discuss your concerns with a supervisor, or your dean or vice president. However, we recognize that this is not always possible. The Privately Speaking Line allows UD employees and students to report a concern anonymously.

When you feel you cannot share information you believe to be problematic (e.g., fraud, waste, safety concerns or other abuse of University resources) through internal channels or feel it is important to remain anonymous, you should use the Privately Speaking Line.

The University is committed to responding to all reports submitted through EthicsPoint in a prompt and discreet manner.

How do I make a report?

There are two options for using the Privately Speaking Line:

  • Call 1-855-550-0654 (toll-free). You will be reminded not to include your name or any other information that may identify you, unless you want to.
  • Make your report online. Your email and IP address are not shared with the University.

Is this line anonymous?

Yes. The University has contracted for this service through EthicsPoint, a third party service provider with no ties to the University.

Can my call be traced?

No. You may call the EthicsPoint number from home, work, cellular or pay telephone.

What type of information should not be reported?

Do not use this line to report emergencies.

To report an emergency, contact Public Safety (911 from a campus phone and 937-229-2121 from all other phones).

What happens to the information I report?

EthicsPoint will transcribe the message and enter it into the EthicsPoint system. A designated contact at the University will log into EthicsPoint to obtain the report transcription. The only person who will hear your voice is the person from EthicsPoint who transcribes your message.

How does the reporting process work?

While the Privately Speaking Line is administered by EthicsPoint (a third-party service provider), the reports are handled by the University of Dayton. A process has been designed to receive reports (your concerns) from EthicsPoint anonymously and handle internally with the highest degree of confidentiality. We hope that by providing this transparency in our process, you will have a better understanding of how and who handles your concerns which will help you be comfortable in contacting us.

Process Overview
  • All calls and online submissions (i.e., reports) are received directly by EthicsPoint personnel (a third-party service provider) to ensure confidentiality.
  • All reports are submitted in written format to the University through EthicsPoint anonymously.
  • The VP & General Counsel for Legal Affairs and Assistant Vice President for Audit, Risk & Advisory Services receive notifications (from EthicsPoint) that a report has been received.
  • The Assistant Vice President for Audit, Risk & Advisory Services is responsible for distributing reports to other members of the Privately Speaking Line (PSL) Committee within two business days of receipt.
  • Reports are reviewed by the PSL Committee to ensure appropriate and timely investigation and actions.
  • Committee members include EVPFAS, Assistant Vice President for Audit, Risk & Advisory Services, and representatives from Legal Affairs, Human Resources, Provost's Office and ARC.
  • Disclosure to the Committee is limited in any case of potential conflict.
  • Reports are held to the highest degree of confidentiality.
  • Closure is documented via a report to the Committee; updates and/or closing commentary is entered in the EthicsPoint system for the reporter to view.
  • Reports are summarized and presented to the Audit and Risk Committee of the Board of Trustees.

How will I know the status of my report?

EthicsPoint will issue you a report key number that you can use to log in or call back to obtain a status on your report. We ask that you follow up on a regular basis (by logging in or calling back) in the event we have questions as we review your report.
