Using Options Travel to Reserve a Room

  • Hotel stays may be booked using Options Travel, and this is highly encouraged. Travelers may also book directly with hotel properties when it makes sense to do so (special rate codes, no difference in pricing, etc.). Travelers should avoid using third party discount websites to book any kind of lodging.
  • Travelers with a PCard must reserve their room(s) using their PCards. Travelers without PCards may direct bill their room(s) to the University by giving Options Travel their entire FOAPAL string at the point of booking. However, please read below about having a credit card at check in for incidentals.

Credit Cards at hotel check in

  • Most hotels require a credit card upon check-in for incidental charges. Travelers with PCards are required to use their PCard for this purpose.
  • Travelers without PCards may either contact Procurement & Payable Services about completing a pre-authorization which will negate the need for a credit card at check in OR use a personal credit card and request reimbursement for room charges and valid, allowable incidentals that are charged to the card.
