Performance Reviews

Although the annual performance reviews are not due until January, given all that is going on this year and the impact that has had on workload and responsibilities, we wanted to make sure you had plenty of time to work on your annual performance reviews for this year. 

As was done last year, evaluations for all faculty, staff and administrators will be done electronically to include a secure electronic signature. A GOOGLE DRIVE has been created that includes the various forms for tenure track/tenured faculty and faculty of practice, lecturers, staff, and administrators (department chairs, center directors, and assistant and associate deans).

PLEASE NOTE: The promotion process for lecturers was approved at the University level earlier this academic year. As such, lecturers will be using a different form for their annual performance review. This new process will require lecturers to spend more time in conversation with their chairs to set up their professional strategic plan. Later this semester, the dean's office will host professional development sessions for lecturers. Additionally, Assoc. Dean Margie Pinnell is happy to meet individually with lecturers and their chairs to discuss this process.

At this time, we are still waiting for approval from the University on the new tenure and/or promotion document for faculty of practice and tenure track/tenured faculty. As such, this process will not be implemented until next academic year. 

Faculty and Staff

The following process will be used:

  1. Faculty and staff electronically fill out the appropriate forms located in the 2020 PERFORMANCE REVIEWS
    1. Tenure track faculty and faculty of practice will download and fill out the forms:  2020 Faculty Activity Report and 2020 Periodic Evaluation Form, section I
    2. Lecturers will download and fill out the form Review of Lecturer Summary of Evidence Form
    3. Staff will fill out the form 2020 Staff Performance Management Assessment, sections 1 – 5
  2. Faculty and staff will then email the completed form to their supervisor no later than January 15 (supervisors of larger departments or centers may request these be submitted earlier in order to enable them to accommodate individual meetings with faculty and staff).
  3. The supervisor will add their comments electronically as indicated on the forms.  The supervisor will then meet over Zoom with each faculty and staff member in their department or center to discuss that faculty or staff member’s performance over the past year and goals for the next year. Once the review has been completed and any changes or comments have been agreed upon, the completed performance reviews will then be sent to the SOE Performance Review Mailbox: soeperformreview@udayton.edu, by February 1. 
  4. The Associate Dean for Faculty and Staff Development will review the forms submitted and add additional comments as needed. The completed forms will then be uploaded into Adobe Sign to start the electronic signature process:
    1. The form will be electronically signed by the associate dean and then forwarded to the supervisor.
    2. The supervisor will add their electronic signature and then send the form to the faculty or staff member.
    3. The faculty and staff member will provide their electronic signature, and the form will then be returned to the dean’s office.
    4. Once the faculty or staff member has electronically signed the form, the completed performance review will be downloaded into each employee’s electronic file, and a copy will be sent electronically to the faculty or staff member and their supervisor.

Chairs, Center Directors, and Associate and Assistant Deans

The following process will be used:

  1. Administrators will electronically complete the Associate Deans, Assistant Deans, Center Directors and Department Chairs Annual Review, sections 1 - 6 and e-mail the form to their supervisor by February 12. 
  2. Supervisors will meet face-to-face with the administrators (dean or associate dean) sometime between February 15 and March 15.
  3. Once the review has been completed changes or comments have been agreed upon, the evaluation will then be sent to the SOE Performance Review Mailbox: soeperformreview@udayton.edu.    
  4. The completed forms will then be uploaded into Adobe Sign to start the electronic signature process:
    1. The form will be electronically signed by supervisor (dean or associate dean) and then send the form to the administrator.
    2. The administrator will provide their electronic signature, and the form will then be returned to the dean’s office.
    3. Once the administrator has electronically signed the form, the completed performance review will be downloaded into the administrator’s electronic file, and a copy will be sent to them and their supervisor.
